Compound Details

Provides access to all the main functions that can be performed on individual compounds.

There are two displays for this option – Details Page and List Page. The options available differ between the two pages. On both pages there is a Search box. Entering the reference code of any compound will display the details. IsoStock remembers the user’s recently accessed compounds which can then be selected from the drop-down list.

Details Page

This displays all the details for the currently selected compound at the top of the screen.

The Current section displays the current quantity available and also decay corrected activity, concentration and specific activity.

The lower part of the screen displays all transactions relating to that compound with details of dates/times, amounts and users.

Colour is used to show transactions that are actually part of a sub-sample and these can be removed by un-ticking the “show transactions for sub-samples in grey” box. All percentages for sub-samples are displayed relative to the compound selected.

Confirm and Accept Compound

This option is only visible if the compound is being held.

Confirms the details of a compound which has been received and held. This must be done before any further transactions can be entered.

The details the user must update are:

The On Delivery fields will show the decay corrected amounts received.

View/Edit This Compound

For editing the original details of the compound. Its operation depends on how the compound was created as below:

Use This Compound

Allows the user to mark that some (or all) of the compound is being used.

Use All This Compound

This option marks the whole compound as “in-use”, i.e. No longer a stock item.

The details entered are:

Use Part of This Compound

This option takes part of a compound and creates a new sub-sample with its’ own unique reference code.

The details entered are:

Projectthe project or study the sub-sample is for (optional)

When entering quantity/activity/percentage, the other two values are calculated with decay correction. This allows the user to enter all transactions as quantity, but also to calculate how much quantity would meet a required activity.

A new reference code is allocated to the sub-sample if applicable.

Dispose of This Compound

Allows the user to record disposal information against the compound.

Firstly the dispose will assume that you are disposing of the currently displayed compound, however, if you have a sub-sample highlighted in the transaction window, you will be given a choice of which part of the compound you are disposing of.

The details that are entered are:

Date/timewhen the disposal was made
Disposed bywho made the disposal

The compound can be disposed of by 5 routes simultaneously. These are all identical in operation and consist of:

Disposal routethe means by which the compound was physically disposed of
Waste referencewhen the compound was disposed into a container, a list of valid container references will be given. There is also an option for selecting “New” to create a new container of the type highlighted
Detif a new container is selected, this option allows the user to enter further details of waste reference code, location of waste, further hazards and notes. If an existing container is selected, you will also see previous notes and the current contents of the container. If you are using Multi-containers you will need to enter the number of items
Quantitythe quantity being disposed of (relative to the original)
Activitythe activity being disposed of
Percentagethe percentage being disposed of

Any combination of Quantity, Activity and Percentage can be entered

Notesa free text note can be recorded against the disposal

Standard disposal – this option allows the user to select from a list of standard percentages enabling quick entry of data.

Edit This Transaction

Allows editing of the highlighted transaction. The nature of the edit will depend entirely on the type of transaction being edited but will take the user to a screen similar to the one used to enter the transaction originally.

Freeze This Transaction

Allows the user to temporarily set aside transactions. This enables the user to make major edits, which would otherwise be prevented by the existence of the transactions. These are related to changes which affect concentration. Other data can be edited through the Edit This Transaction option without the need to freeze transactions.

Once a transaction is frozen, it will be shown in red on the transaction list. If all transactions are frozen, the user will then be able to edit any of the original data for the compound. The user is then required to un-freeze each of the transactions by editing them individually and confirming any changes. IsoStock will always remember which value (quantity/activity/percentage) was entered and recalculate the others based on the new information (i.e. a change of concentration or reference date).

It is best to freeze from the “bottom upwards”, i.e. start with the last child and work back to the compound that needs editing. When reconfirming work, “top downwards”, i.e. Start with the edited compound and confirm each transaction until you get to the final frozen transaction.

Whilst transactions are frozen, there are potential discrepancies in the data, which could affect reports, so it is essential that all frozen transactions are dealt with after the major edit.

Enter a New Compound

Allows the user to enter a compound into the system without it having been requested or ordered.

This information that can be recorded is:

The on delivery fields display the decay corrected amounts being received.

The small calculator icons beside the activity, quantity and concentration allow you to specify which is the calculated field (dark icon) from the other two (pale icons).

A reference code is allocated to the compound if applicable.

Dilute / Synthesise

Similar to the Use option, but allows the user to change the compound details and concentration.

The details that are entered:

OK + Repeat – this option allows the user to confirm the details but start creating a second/third… sub-sample based on the same details.

Break Apart

This option allows the user to record the sub-sample of complex compounds. These are usually where the distribution of radioactivity is not constant across the compound. eg. 10% of compound containing 90% of the activity.

It can also be used to divide generic nuclides into their individual components.

The data that can be recorded is:

Caution is needed with this transaction, as there is no check that the parent and child samples total in activity.

Dispense Radiopharmaceutical

This option is similar to the Dilute/Synthesise option but allows the linking of a Radiopharmacy Request. This can be used in conjunction with Nuclear Medicine where the Radiopharmacy manufacture process is not required in detail.

While viewing the eluate to dispense from, select this option.

Select from the list of outstanding radiopharmacy requests.

Complete the details of the dispensed product.

Convert into Waste Item

Occasionally an item may need disposing of without being first place in a waste container.

This option can be used to convert a stock item into a waste item.

The data that can be entered is:

A phantom container will be created in Department Waste with the same reference as the source. It can then be managed in the same way as other waste containers.

Free Text Note

This option allows the user to record a single line free text note/comment.

The note is date/timed marked along with the user who added it.

Move This Compound

Allows the user to move the compound to a new department, owner, or location.

The details that can be entered are:

Date / timewhen the move was made

Treatment Preparation

This option is similar to the Use option with an added decay calculation. There is a second set of date/times (the intended use time) and activity decay corrected to this time. Either activity can be entered, and the other is calculated automatically.

Additional Detail

This option adds additional details / notes from a set of predefined templates with/or without parameters.

Select the type of note, and add the parameter values where applicable.

Attach Document

This option attaches a document to the item.

You can attach a document of any type. When viewed it will use the native viewer on the computer for that file type. eg. PDF – Adobe Reader.

Enter the date/time of attachment and user making the attachment. Enter the description to list on the transactions and select the file by entering the path, or by clicking on the […] and navigating to the file.

Adjust Contents

Allows the user to adjust the amount of stock contained within a compound. This may occur when a supplier supplies slightly more than was intended. The quantity can then be increased to allow for further transactions.

Although this option modifies the original quantity and activity received, it is different to just editing the original compound. This options records the change as an actual transaction with date, time and the user who established the discrepancy and by nature does not require an audit reason.

The data that can be entered is:

Note: the adjustment can not be more than 100% within one transaction. Also to keep percentages consistent they are always calculated relative to the initial quantity, therefore increasing the stock by 10% would mean the initial stock is counted as 110%, not 100%.

Return as Stock

This option marks a sub-sample (or any item that has been made/dispensed from another item) as a Stock item.

Enter the date/time of conversion, and the user making the change.

Stock and In-use items are shown differently on lists of compounds and some of the reports.

Dose Administration

This option records the administration of a dose from the currently highlighted product.

IsoStock will calculate a guide volume to draw and also calculate the actual volume from the measured activity.

This option differs slightly from the main Dose Administration screen, as the disposals are entered separately.

Request This Compound

This option allows the user to request part of a compound belonging to another department.

This is half of a standard Use transaction where the requestor enters the main details, and the dispenser completes the quantity and activity dispensed.

The transaction does not create a sub-sample until the matching dispense has been made.

Dispense This Request

This option dispenses a sub-sample against a Request made by another user.

Most of the details are pre-filled from the Request. The user enters the date/time of dispense and the amount dispensed.

On confirmation, a new sub-sample is created with reference code.

Dispenses can be centrally managed, for all sources simultaneously, on the Dispensing Requests screen.

Combine Compounds

The Combine function allows the user to take two (or more) compounds containing the same radionuclide and combine them to create a new compound.

After selecting this option the compound will be displayed in red awaiting further information about how much is being used.

  • Highlight the compound
  • Select Edit quantities and enter the quantity
  • Click Add another compound to add the second compound (and third etc.).

Enter the details of the new compound with the following data:

On confirmation, the new compound will be allocated a new reference code. This will be sequential and won’t visually relate to either of the parents, although IsoStock tracks the link.

The Find Parent from the side menu will give 2 options, one for each parent compound.

Transfer Off-Site

This option allows the user to transfer a (or part of a) compound to another site or organisation as a non-waste transfer. e.g. for QA purposes.

On confirmation, the transfer will be given a unique consignment number.

The details of the transfer will also be placed on the clipboard in text form and in an encrypted form that can be sent to the receiver and imported into IsoStock if they use it.

View / Edit Notes

You can record an unlimited amount of free text notes against each compound.

Delete This Transaction

Allows deleting of the highlighted transaction. Some transactions can not be deleted if they relate to other transactions and samples. However, they can be deleted in reverse order from the latest entry backwards.

View Document

This option opens the attached document relating to an attachment transaction.

The document will be opened in the native viewer for that file type.

Find Parent Compound

Where a compound is a sub-sample, this option navigates to the parent compound.

If the sub-sample was combined by multiple compounds, a menu will be shown with each parent.

Find Sub-Sample / Child

While highlighting a sub-sample transaction, this option will navigate to the child / sub-sample.

View / Edit Receipt Details

Compounds that have been received via a Request, or the Order process can be edited using this option.

View Decay Table

This option provides a table showing the decayed activity for the source on a given date. The range can be selected in Days, Months, or Years.

Delete This Compound

This option deletes the current show compound.

You cannot delete compounds that have transactions attached.

Copy to Clipboard

The details of an individual compound can be copied to the clipboard. The format/layout and fields can be defined with Setup – Clipboard formats.

The user can print a label with detail of the compound or sub-sample.

The options and formatting for these are managed in Setup – Label formats.

The user can print the details of an individual compound, with all associated transactions.

Exportable to PDF/Excel/CSV/Clipboard to Excel/Word/email.

Show Edits

This option shows the details of any changes to the highlighted container, along with the user, the date/time of the change, the reason, and the items changed.

Show a List of Compounds

This option switches from the single compound view, to the multiple/list view for searching and filtering.

List Page

The list page is used to search for compounds.

There is a selector to show Currently Available (items that are still on-site or part used), or No longer on site (items that have been disposed of) shown in red.

Further options can filter the data by current user, current department, locations, protocols etc. and also search through free text fields such as compound name, batch number etc.

The table of compounds shows:

Further options allow inclusion/exclusion of sub-samples (shown in grey).

The activity/quantity is switchable between current decay corrected, and nominal/original value.

Double-clicking any item will switch back to the single compound view, with that compound focused.

Enter a New Compound

This option is identical to the option with the same name described earlier on this page.

The user can print the currently displayed list of compounds.

Exportable to PDF/Excel/CSV/Clipboard to Excel/Word/email.

Show Details of This Compound

Returns to the single item view with the highlighted compound focused.
