Orders

The Orders menu provides the user with options for managing orders within IsoStock. Orders are similar to Requests as they are for recording material before it arrives.

However, the major difference is that once a compound has been placed on an Order, it is assumed that it will arrive on site. It is given a unique reference code and is considered part of the site holding after its expected arrival date and therefore included in relevant reports.

The list provides information on:

Expectedthe date on which the order is expected
Order nothe unique order reference number
Supplier refthe reference number provided by the supplier
Supplierthe supplier with which the order was placed

Colour is used to indicate the status of the orders:

Blackawaiting delivery
Greenorder has been completely received
Bluepart of the order has been received
Redthe order is overdue/past it’s expected arrival date

A drop-down allows the user to select orders displayed:

For my compoundsall orders containing compounds for the user
For my departments compoundsall orders for the departments to which the user has access
Made by userall orders made by the selected user
For userall orders for the selected user
For departmentall orders for the selected department
Allall orders
Overdueall orders that are past their expected delivery date
Made in last 2 monthsall orders placed within the last 2 months

There is also a search facility allowing the user to type an Order number, the supplier’s order number, or the Reference number of any compound on an order.

The lower part of the screen displays the details of the highlighted order.

Create a New Order

A blank New Order screen will be displayed, which needs to be completed

Order numberunique order reference number
Suppliers order numberany reference number provided by the supplier (optional)
Date/time orderedwhen the order was made (will auto-fill with current date/time)
Ordered bywho placed the order (will default to current user)
Date expectedwhen the compounds are expected to be delivered
Supplierthe supplier of the compounds
Addressthe address of the supplier (optional)
Contactthe contact for the supplier (optional)

Compounds can then be added to the order by one of two methods.

Add an Authorised Request

A list of all authorised requests is provided, and the user can select the required request. Once selected, the initial details for the order are taken from the request.

The details can be confirmed/adjusted:

Referenceunique reference for the compound
Projectproject or study number that the compound is for (free text / optional)
Protocol / licenceprotocol or licence under which the compound will be used
Catalogue codemanufacturers/suppliers catalogue number for the compound
Compoundname/details of the compound
Radionuclideradionuclide that the compound contains
Deliver tolocation to which the compound is to be delivered
Costcost of the compound (optional)
Reference date/timereference/activity date for the compound (optional)
Activityactivity being ordered
Quantityquantity being ordered
Concentrationconcentration being order
Calculatewhich of the values is being calculated from the other two
Spec actspecific activity being ordered (optional)
Notesany further notes (optional)

The On Delivery fields will calculate the activity at the time of delivery if the expected date has been entered on the previous screen.

Add Non-Requested Compound

Allows the user to add other compounds not originally requested to the order.

The details that can be entered are:

Referenceunique reference code of the compound
Departmentdepartment the compound is for
Ordered foruser the compound is for
Projectproject or study that the compound is for (free text / optional)
Protocol/licenceprotocol or licence under which the compound will be used
Catalogue codemanufacturers/suppliers’ catalogue code of the compound
Compoundname/details of the compound
Radionuclideradionuclide that the compound contains
Costcost of the compound (optional)
Deliver tolocation to which the compound is to be delivered
Reference date/timereference/activity date of the compound (optional)
Activityactivity being ordered
Quantityquantity being ordered
Concentrationconcentration being ordered
Calculatewhich of the values is to be calculated from the other two
Spec actspecific activity of the compound (optional)
Notesany further notes

The On Delivery fields will calculate the activity at the time of delivery if the expected date has been entered on the previous screen.

Confirm

Once the order is confirmed a unique order number will be issued (if applicable), and all compounds will also be given unique reference numbers (if applicable).

View/Edit This Order

Allows the user to edit the details of a previously made order.

After highlighting, it is identical in operation to Create a New Order.

Note that you cannot edit details of received compounds.

Copy This Order

Allows the user to create a new order based on the contents of a previous order.

After highlighting, it is identical in operation to Create a New Order.

Delete This Order

Allows the user to delete a previously made order.

Compounds must first be removed from the order before they can be deleted.

You cannot delete an order that contains received compounds.

Copy to Clipboard

Allows the user to copy the contents of an order onto the clipboard in a format defined within Setup.

Allows the user to print:

  • the list of orders – date ordered, Order no, Supplier detail, Expected date, delivery status
  • details about individual orders – Order number, Supplier order ref, Date/time ordered, Ordered by, Date expected, Supplier details, Reference/Department order for, Project, Licence, Compound, Radionuclide, Activity, Quantity, Concentration, Specific activity

Exportable to PDF/Excel/CSV/Clipboard to Excel/Word/email.

Show Edits

If a request has been edited, the option Show Edits will be available. The option details the date/time/user and reason for the edit, together with an audit trail of the changes that were made.
