Receive Compounds

The list provides information on:

Expectedthe date that the order is due
Order nothe unique order reference number
Supplier refthe suppliers order reference number
Supplierthe supplier that the order was placed with

Colour is used to indicate the status of the orders:

Blackawaiting delivery
Greenorder has been completely received
Bluepart of the order has been received
Redthe order is overdue/past its expected arrival date

A drop-down allows the user to select orders displayed:

For my compoundsall orders containing compounds for the user
For my departments compoundsall orders containing compounds for the departments for which the user has access
Made by userall orders made by the selected user
For userall orders containing compounds for the selected user
For departmentall orders containing compounds for the selected department
Allall orders
Overdueall orders that are past their expected delivery date
Made in last 2 monthsall orders placed within the last 2 months

There is also a search facility allowing the user to type an Order number, the suppliers’ order number, or the Reference number of any compound on an order.

The lower part of the screen displays the details of the highlighted order

Receive and Update

Allows the user to mark each compound within the order as received and update any relevant information.

Each compound is listed using colour to indicate the status:

Blacknot yet received
Greenreceived and ready to use
Bluereceived, but further details required

After highlighting a compound, there are two methods for marking it as received.

Receive and Update

This marks the compound as received. The user updates any of the following information, and the compound will be ready to use.

Department, Owner, Project, Protocol/licence, Compound, Cost, Activity, Quantity, Concentration, Spec act.

The user completes the following:

Reference date/timethe reference/activity date of the compound
Date/time receivedwhen the compound was received
Received bywho received the compound
Batch numberthe suppliers’ batch number (free text/optional)
Lot numberthe suppliers’ lot number (free text/optional)
Expiresthe date at which the compound will no longer be considered usable
To be stored inthe location where the compound will be kept

The On Delivery field will update with the decay corrected amounts at the time the compound was received.

Receive and Hold

This marks the compound only as received and does not require the user to update details. This would be used when the compounds are received into a holding area. but not unpacked and then later passed to the recipient.

The information required by the user is:

Date/time receivedwhen the compound was received
Received bywho received the compound
Locationthe location the compound will be held in

View / Edit This Order

Allows the user to edit the details of the previously made order.

After highlighting, it is identical in operation to Create a New Order

Receive and Hold Only

This option is similar to the Receive and Update option but assumes that all the compounds will be held (i.e. second option)

The following information must be entered:

Date/time receivedthe time the compounds were received
Received bywho received the compounds
Locationwhere the compounds will be held

The user can then tick the compounds that have been received.

Receive Without Order

Allows the user to receive a compound on-site with no prior request or order information.

It is identical in use to the Compounds, Enter a New Compound option

Receive from Request

Allows the user to receive a compound against an authorised request without first having to create an order.

The user first selects the request for the compound being received.

After selecting the request, the user updates the following information:

Referencethe unique reference code for the compound
Departmentthe department that owns the compound
Ownerthe user that owns the compound
Projectthe project or study that the compound is for (free text/optional)
Protocol/licencethe protocol or licence under which the compound will be used
Catalogue codethe manufacturers/suppliers catalogue code for the compound
Supplierthe supplier of the compound
Compoundthe name/details of the compound (free text)
Radionuclidethe radionuclide that the compound contains
Costthe cost of the compound (optional)
Reference date/timethe reference/activity date of the compound
Activitythe activity received
Quantitythe quantity received
Concentrationthe concentration received
Calculatethe value that is calculated from the other two
Spec actthe specific activity received (optional)
Date/time receivedwhen the compound was received
Received bywho received the compound
Batch numberthe suppliers batch number (optional)
Lot numberthe suppliers’ lot number (optional)
Expiresthe date when the compound will no longer be of use
Stored inthe location the compound will be kept in
Notesany other notes (optional)

The on-delivery fields display the decay corrected amounts being received.

Receive from Clipboard

Allows the user to receive compounds transferred from another IsoStock system.

If the user receives an email containing the encrypted data created by the transferor, they can enter the compound into the system using this data.  Copy the data to the clipboard and then select this option.

Once selected, this option is identical to Compound Details – Enter New Compound.

Note that it is only possible to paste clipboard data created from IsoStock.

Allows the user to print:

  • the list of orders – date ordered, Order no, Supplier detail, Expected date, Delivery status
  • details about individual orders – Order number, Supplier order ref, Date/time ordered, Ordered by, Date expected, Supplier details, Reference, Department ordered for, Project, Licence, Compound, Radionuclide, Activity, Quantity, Concentration, Specific Activity

Exportable to PDF/Excel/CSV/Clipboard to Excel/Word/email.

Show Edits

If a request has been edited, the option Show Edits will be available. The option details the date/time/user and reason for the edit, together with an audit trail of the changes that were made.

During the Order process, there is an option for Deliver to. If the items have been partially received using Receive and Hold, this report will list the items with their respective intended delivery locations.
